1. Introduction

These Terms and Conditions govern your use of the HostLoop Ltd platform as a member host and your obligations when hosting or staying with other hosts. By signing up, you agree to abide by these terms unreservedly.

2. Membership Eligibility

Only verified accommodation providers (e.g., B&Bs, guesthouses, holiday lets, private rooms etc) may join HostLoop Ltd.

HostLoop Ltd reserves the right to approve, decline, or remove any member at its discretion.

3. Subscription Fees

Subscription fees are payable either every 6 months or annually not he recurring date of application approval.

The fee is per establishment, whether individual or part of a small chain or umbrella company.

The fee may be subject to change.

Members will be notified of major changes via email or platform notification.

2. Membership Eligibility

HostLoop Ltd reserves the right to approve, decline, or remove any member at its discretion.

4. Credits System

Each new member receives 12 credits.

  • 3-star establishments equal 1 credit per person per night’s stay.
  • 4- and 5-star establishments equal 2 credits per person per night’s stay.

Credits have no monetary value and are non-transferable outside the platform.

Unused credits do not expire but may be removed in cases of inactivity longer than 18 months.

The credits cover accommodation only.

5. Hosting Commitments and Expectations

By accepting a stay request, hosts agree to:

  • Provide a clean, safe, and professional-standard environment
  • Offer reasonable check-in and check-out windows
  • Respect the guest’s privacy, person and property
  • Communicate promptly if plans change

HostLoop Ltd does not guarantee guest behaviour and cannot be held liable for any damages and/or losses.

If damage or harm in any fashion occurs, HostLoop Ltd may freeze or deduct credits from the offending party and issue them to the affected host or guest as compensation. Severe cases may result in expulsion from the platform.

Hosts are encouraged to maintain appropriate property and any applicable liability insurance at all times.

6. Guest Commitment and Expectations

When staying with a fellow host, guests agree to:

  • Treat the host’s property, person, and staff with respect and leave it clean and tidy
  • Communicate clearly about arrival and departure
  • Not bring additional guests without prior approval from the host
  • Refrain from disruptive behaviour

HostLoop Ltd does not guarantee host or host employee behaviour and is not liable for any damages and/or losses.

If damage or harm in any fashion occurs, HostLoop Ltd may freeze or deduct credits from the offending party and issue them to the affected host or guest as compensation. Severe cases may result in expulsion from the platform.

Members are responsible for ensuring that anyone they use credits on adheres to these Terms and Conditions.

Resulting consequences for any infringement of the aforementioned documents will be taken on by the HostLoop Ltd member.

7. Cancellations and No-Shows

Cancellations by hosts or guests should be made at least 72 hours in advance when possible.

Excessive last-minute cancellations and/or no-shows may result in credit deductions and/or membership suspension or expulsion.

HostLoop Ltd reserves the right to determine what constitutes ‘excessive.’

8. Platform Limitations

HostLoop Ltd is a facilitator only and does not act as a travel agent, insurer, or guarantor.

HostLoop Ltd is not responsible for any losses, damages, injuries, or disputes arising from stays arranged through the platform.

9. Dispute Resolution

Any disputes should first be addressed directly between the involved parties. If unresolved, members may contact HostLoop Ltd with evidence, and a review will be conducted.

HostLoop Ltd will determine any appropriate credit adjustments or membership actions at its sole discretion.

No financial compensation will be offered or expected.

10. Code of Conduct

All members are expected to uphold a respectful, professional tone in all communication and interactions.

Harassment, discrimination, and/or abuse will not be tolerated in any way and will result in immediate removal from the platform with no refund of any fees already paid and forfeit of all accumulated credits.

HostLoop Ltd reserves the right to decide what constitutes harassment, discrimination and/or abuse.

11 .Insurance and Liability

All members are strongly advised to maintain adequate insurance (e.g. public liability, building/contents insurance) to cover any potential loss, injury, or damage.

HostLoop Ltd accepts no responsibility for failure by any member to obtain appropriate coverage.

12. Force Majeure

HostLoop Ltd shall not be held liable for any delay or failure to perform obligations resulting from events beyond reasonable control, including natural disasters, wars, strikes, pandemics, internet outages, or other unforeseen events.

13. Privacy & Data Use

Member data is used solely for platform functions, internal analytics, and direct communications.

HostLoop Ltd does not sell or share personal data with third parties without written consent.

All personal data is processed in accordance with the UK General Data Protection Regulation (UK GDPR).

14. Modifications

HostLoop Ltd reserves the right to amend these Terms and Conditions at any time. Members will be notified of major changes via email or platform notification.

Continued use of the platform after changes constitutes acceptance of the updated terms.

15. Jurisdiction

These Terms and Conditions shall be governed by and interpreted in accordance with the laws of Scotland, United Kingdom.

Any legal disputes shall be subject to the exclusive jurisdiction of the Scottish courts.
